Carter Alexander Event Center
Effective Date: April 23, 2026

1. Booking & Payments

• A non-refundable retainer/deposit is required to secure your event date. Deposit is 50% of event costs. 

• Dates are not held without payment.

• The remaining balance is due 7 days before the event.

• Failure to pay the remaining balance may result in cancellation of your event without refund.

• If an event is cancelled 14 days before the event, no refunds are issued.

2. All Sales Final

All payments made to Carter Alexander Event Center are non-refundable, except as outlined in the cancellation section below.

3. Event Time & Overage

• Rental time includes setup and breakdown.

• Any time exceeding your booked hours will incur an overtime fee of $_100__ per hour.

• Overtime must be approved in advance or will be charged automatically.

4. Guest Count & Capacity

• If requesting company catering, the client must provide a final guest count 7 days before the event.

• Maximum occupancy must not be exceeded at any time.

• Additional guests beyond agreed count may result in additional fees or event termination.

5. Damages & Cleaning

• Client is responsible for any damages caused by guests, vendors, or attendees.

• A cleaning fee may apply if the venue is left excessively dirty.

• Repairs or replacements will be billed to the client.

6. Decorations & Setup

• No nails, screws, or damaging adhesives allowed.

• All décor must be approved if required.

• Confetti, glitter, and open flames may be restricted.

7. Outside Vendors

• Outside vendors are allowed but must be approved with insurance.

• Carter Alexander Event Center is not responsible for third-party services.

8. Conduct & Safety

• Illegal activities, violence, or unsafe behavior will result in immediate event termination without refund.

• Client is responsible for guest behavior at all times.

9. Liability

Carter Alexander Event Center is not liable for:

• Personal injury

• Lost or stolen items

• Vendor-related issues

10. Agreement

By booking services, you agree to these Terms & Conditions.

Cancellation & Refund Policy

1. Non-Refundable Retainer

All deposits/retainers are non-refundable under any circumstance.

2. Client Cancellations

• Cancellations made more than 14 days before the event:

  • Payments may be applied as a credit toward a future event within 360 days of the original date.

• Cancellations made within 14 days of the event:

  • No refunds or credits will be issued

3. Rescheduling Policy

• One-time reschedule may be allowed if requested at least 14 days in advance

• New date must be scheduled within 90 days of the original event. However, the client has up to 360 days to reschedule a one-time new date from the original date without being charged a new payment booking.

• Subject to availability

• Additional fees may apply

4. No-Shows

Failure to show up for your event will result in forfeiture of all payments.

5. Force Majeure (Protects You)

Carter Alexander Event Center is not responsible for cancellations due to:

• Weather

• Natural disasters

• Government restrictions

• Emergencies beyond our control

In such cases, rescheduling may be offered at our discretion.

6. Venue Cancellation (Rare but Needed)

If the venue must cancel due to unforeseen circumstances:

• Client will receive a full refund OR option to reschedule
